Call recording
Some venues we work with use an AI receptionist to answer their phone. If you have reached this page after such a call, here is exactly what happens to it.

You are told at the start, every time
When an AI receptionist answers, the greeting says so and tells you the call is recorded, before you say anything of substance. You are never recorded without being told.
If you would rather not continue, you can hang up, or you can ask to speak to a person and the call will be passed to the venue instead.
Who is responsible for the recording
The venue you called is responsible for your information, not us. We run the receptionist on their behalf, in the same way a switchboard provider would. If you want a recording deleted or want to know what was kept, the quickest route is to contact the venue. You can also email us at hello@fixrhospitality.com and we will pass it straight on.
Why calls are recorded at all
So the venue gets your message accurately. The recording is what lets the system take a booking down correctly, pass on what you asked for, and let the venue check what was said if something goes wrong with your booking. It is not used to build a profile of you, and it is not used for marketing.
How long recordings are kept
90 days, then they are deleted. We deliberately set this far shorter than the two years our supplier would keep them by default, because a recording of a phone call is not something anyone should sit on longer than it is useful.
Notes taken from the call, such as a booking for four people on Friday, live on in the venue's own records after the recording is gone. That is the same as if a member of staff had written it in the diary.
Please do not give card details on these calls
Our receptionist never asks for payment card details, and no venue should ask you for them through it. If anything on a call asks you for card numbers, stop and call the venue back on their published number.
Your rights
You can ask for a copy of a recording of your own call, ask for it to be deleted, or object to it being kept. Email hello@fixrhospitality.com with roughly when you called and which venue, and we will find it. There is no charge.
If you are unhappy with how it is handled you can complain to the Information Commissioner's Office at ico.org.uk. Our full privacy policy has more detail.
