What we collect, why we have it, how long we keep it, and what you can ask us to do with it.

Who we are

This website and our services are run by Fixr Systems Limited, a company registered in England and Wales, company number 15889598, trading as Fixr Hospitality. We are the data controller for the information described on this page.

For anything to do with your information, email hello@fixrhospitality.com. It reaches a person, not a ticket queue.

If you are a customer of one of our clients

You may have landed here after seeing our name attached to a pub, bar or restaurant. If you called a venue and spoke to an AI receptionist, or received a marketing message from a venue, the venue is responsible for your information, not us. We run the system on their behalf. Contact the venue directly, or email us and we will pass it to them. Our call recording notice explains what happens on a recorded call.

What we collect, and why

When you fill in a form on this website. Your name, email, phone number if you give one, your venue name, and whatever you write in the message box. We use it to reply to you and to prepare for the call you asked for. We have this because you asked us to get in touch, and we keep it for as long as we are talking, and for two years after the last contact in case you come back to us.

When you become a client. The information needed to actually build and run what you bought: business details, opening hours, menus, photos, the answers you give during onboarding, and access to accounts you connect yourself such as your Google Business Profile. We have this because we need it to deliver the contract you signed. We keep it for as long as you are a client, and for six years after you leave, because that is how long we have to be able to answer questions about the work and the money.

Call recordings, if you bought the AI receptionist. Covered separately in our call recording notice. Recordings are kept for 90 days and then deleted.

Nothing from simply reading this website. We do not run analytics or tracking on it, so browsing these pages puts nothing about you in our hands. See our cookie policy.

What we never do

  • We never sell your information, and we never share it for anyone else's marketing.
  • We never ask for your passwords, and we never store them. Where we need access to something like your Google profile, you grant it yourself and you can withdraw it whenever you like.
  • We never take payment card details on this website.

Who else sees it

A small number of suppliers handle information on our behalf so the work can happen, for example the company that hosts your website and the company that sends our emails. They are all listed, with what each one does and where it sits, on our companies we use page. We tell clients before that list changes.

Your information is held in the EU. Where a supplier sits outside the UK, we rely on the transfer protections the law provides, including the UK addendum to the standard contractual clauses.

Your rights

You can ask us to:

  • show you what we hold about you
  • correct it if it is wrong
  • delete it, where we do not have to keep it for legal or accounting reasons
  • stop using it for a particular purpose, or hand it over in a portable form
  • stop sending you marketing, which you can also do from any email we send

Email hello@fixrhospitality.com and we will deal with it within one month. There is no charge.

If we get it wrong, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We would rather you told us first so we can fix it.

Changes to this policy

If we change how we handle information in a way that affects you, we will update this page and change the date at the top. If the change is significant and you are a client, we will email you rather than rely on you noticing.
